Convention Year 2021

Displayers Form Part I

Displays are located around the track in the First Choice Savings Centre for Sport and Wellness. This means they are in the proximity of our keynote speakers delivering their messages to our teachers.  As a result, access to your Booth will be limited during the times are keynotes are speaking. SWATCA is a closed convention, so unless you are an ATA member you are not allowed to attend this session. However, in order for you to prepare for the teachers when they let out of this session and exit through the displays area, you will be allowed access to the Displays Area at 9:30. You can gain access through the East Doors of the track.

Booth Sizes and Amenities

Booths will still be based on a 3 foot by 8 foot table. You will get a few feet on either side, but the amount of space behind the table will vary. Generally, this means you may have somewhere between 66-88 square feet of space. Encroachment into your neighbours’ space or the flow of traffic is not permitted. One table cloth will be provided for each table. If you ordered power, one outlet will be provided at your booth.  You may have to share this outlet with your neighbor, so extension cords and power bars are recommended.

Clothing Racks

If you have clothing racks, you must realize they are cumbersome and take up a large amount of room. Only one would reasonably fit in your booth, if you keep your table. The only way to include more than one rack would be to remove the display table, or purchase an additional booth.

Retractable Banners and Popup Display Systems

If you have any retractable banners, they must be able to fit within this area and not encroach upon your neighbours.   Also if you have a popup display system for behind your table, please include that information in the Additional Notes section of the registration form. There are a few areas where popup displays cannot be used and the Displays Chair will try make sure you are not placed in such an area.

 

Preferential Placement

Several vendors have requested that they be placed n the front row of the display setup.  (FC01, F01 to F16, FC2 if you have attended in the past)  This is the area immediately seen when entering through the east doors, the ATA Booth is in this area.  To create a level playing field you can now request to be placed in this prime location, simply select the Prime Front Door Option on the registration form.  Registered Not for Profits and Governmental Agencies will not get a preferential rate if they select this option.’

Process of registration

After you submit your online registration, the Displays Chair will send you an email with an invoice of the amount you owe, and a contract from the Alberta Teachers’ Association. Payment is due upon receipt of the invoice.

Payment Information

We can now accept E-Transfers as well as cheques for payment.  Please make cheques payable to SWATCA. We cannot accept credit cards at this time.

Setup Information 

Setup is from 15:00 to 19:00 on Wednesday, February 17th, 2021 and 07:45 to 08:30 on Thursday, February 18th, 2021.  On Wednesday we will have helpers available to bring materials in.  On Thursday there will be no helpers. If you are setting up on Wednesday, please come to the North Doors of the First Choice Savings Centre for Sports and Fitness. This is where our Displays Committee will check you in. For Thursday setups, proceed to the East Doors to check in. There are maps available on our website under the Maps heading.

Parking

Free parking is available for Venders in Lot E. Parking passes will be emailed out before the event at check-in. They must be placed, face up, on your dashboard to ensure you do not get a parking ticket.

 

SUGGESTED Display hours

You are allowed to choose your own hours. There are no penalties for leaving early or arriving late. This included only attending one day of SWATCA.

Keynote     08:30 to 10:00

Session 1    10:30 to 12:00

Session 2    10:30 to 13:30

Session 3    12:30 to 14:00

Session 4    14:30 to 16:00

Social Event    16:01 to 18:00

Friday

Keynote     08:30 to 10:00

Session 1    10:30 to 12:00

Session 2   10:30 to 13:30

Session 3   12:30 to 14:00
